About the role

Spring Oak Senior Living is seeking a highly organized and process-driven Talent Operations Manager to support hiring across our organization of more than 1,000 employees and 20+ locations. This role works closely with the Executive Team, community leadership, and hiring managers to keep the hiring process organized, responsive, and moving forward. The Talent Operations Manager will own our ATS and candidate pipelines, manage job postings, coordinate hiring activity, and directly support department-head and leadership hiring. This is not a traditional recruiter role. We are looking for someone who is exceptionally organized, detail-oriented, fast, and an excellent written communicator. The right person naturally stays a step ahead, notices what others may miss, and takes ownership without needing constant direction.   Responsibilities Own the company’s Applicant Tracking System (ATS) and keep candidate statuses, notes, interview activity, and next steps accurate and current. Monitor candidate pipelines and proactively identify who needs outreach, follow-up, an interview, feedback, or another next step. Review applicants for department-head and leadership positions, make initial contact, conduct prescreens, and move qualified candidates through the interview and hiring process. Communicate with candidates by phone, text, and email, and coordinate closely with hiring managers to keep interviews, feedback, and decisions moving. Draft, edit, and manage job postings across Indeed and other recruiting platforms. Manage paid recruiting sponsorships and advertising budgets within approved limits. Monitor hiring activity across all locations and provide hands-on support to communities struggling with frontline hiring. Train new users on the ATS and hiring process and provide ongoing support to hiring managers. Support onboarding and 90-day follow-up for department-head and leadership hires. Assist with recruiting-focused social media posts and help improve hiring workflows and candidate communication.   Qualifications Exceptional organization, attention to detail, and follow-through are essential. Excellent written and verbal communication skills. Ability to work quickly and accurately while managing multiple candidates, openings, and follow-up items. Strong ability to prioritize, anticipate next steps, and take initiative. Experience in talent operations, recruiting coordination, project coordination, administrative operations, HR operations, or another fast-paced process-driven role is preferred. Experience working in an ATS, CRM, project management system, or similar workflow platform is strongly preferred. Comfortable communicating with candidates by phone, text, and email and conducting professional prescreens. Recruiting, healthcare, or senior living experience is a plus, but not required. Willingness to communicate with candidates during evenings and weekends when needed.   This is a full-time, onsite position based in our corporate office in Wall, NJ. We are looking for someone who takes ownership, stays ahead of details, and understands that a strong hiring process depends on speed, organization, judgment, and consistent follow-through.
