About the role
This position serves as a key operational and programmatic partner within the Office of Faculty Affairs and is responsible for supporting and coordinating core faculty affairs functions across the School of Medicine. Working closely with the Senior Director and Senior Program Manager, this role ensures the accurate, efficient, and timely execution of faculty appointments, promotions, evaluations, endowments, credentialing, committee operations, and faculty development programs. In addition to providing administrative and program support, this position is designed as a developmental role with increasing responsibility. The incumbent will gain comprehensive knowledge of Faculty Affairs operations, policies, and institutional processes, and will progressively take on increased responsibility for coordinating and executing programmatic processes and supporting leadership in the preparation and implementation of Faculty Affairs activities. This role interacts extensively with internal and external stakeholders, including faculty, department administrators, the Dean’s Office, the Provost’s Office, and external organizations, to ensure that faculty information, processes, and programs are managed with a high level of accuracy, professionalism, and responsiveness. Success in this role requires a high level of reliability, consistency, attention to detail, and the ability to execute established processes accurately within structured workflows and defined leadership review protocols. Over time, the position is expected to expand in scope to include increased responsibility in coordinating processes, supporting workflow management, and preparing materials to support leadership review and decision-making. • Ability to work independently within established processes and supervisory oversight. Demonstrated ability to manage assigned responsibilities with initiative and accountability while adhering to defined protocols, templates, and leadership review processes. Must be able to prioritize work, meet deadlines, and ensure accuracy of materials in preparation for leadership approval and final dissemination. • Strong organizational and process management skills. Ability to manage multiple concurrent workflows requiring a high degree of accuracy, attention to detail, and adherence to established procedures. Proven ability to track, coordinate, and complete complex administrative and programmatic processes in a timely manner. • Effective professional communication skills. Ability to draft clear, accurate, and professional written communications for leadership review and approval, and to communicate effectively with a wide range of constituents, including faculty, department administrators, and senior leadership. Must demonstrate sound judgment in handling sensitive or confidential information. • Attention to detail and commitment to accuracy. Demonstrated ability to consistently produce accurate, high-quality work in a structured environment requiring adherence to established templates, processes, and leadership-controlled communication, particularly in high-volume and detail-sensitive processes. • Ability to learn and consistently apply institutional policies and procedures. Capacity to interpret and follow University, School of Medicine, and Faculty Affairs policies and ensure that all communications and processes align with established guidelines and leadership expectations. • Problem-solving and critical thinking skills. Ability to identify discrepancies, gather relevant information, and propose solutions or options for review by leadership, while exercising sound judgment regarding when to escalate issues. • Capacity for growth and increased responsibility. Demonstrated ability and willingness to take on expanded responsibilities over time, including increased ownership of processes and program components, while continuing to operate within established leadership and communication structures. REQUIRED EDUCATION AND EXPERIENCE: • High School Diploma or equivalent • Three years of administrative experience PREFERRED QUALIFICATIONS: • Bachelor’s degree • 5 years of administrative experience • Related experience in medical school • Background in managing and reporting data in various formats.
