Summary of Responsibilities Job Summary The Facilities Coordinator II provides routine support for the daily operations and administration of Elbit Systems’ facilities. This role follows established procedures to coordinate service requests, process documentation, and contribute to maintaining a safe and efficient work environment. The Facilities Coordinator II works closely with team members, vendors, and internal stakeholders to ensure timely and accurate delivery of facilities services, escalating issues as needed. The position requires basic knowledge of facilities operations and the ability to work effectively under regular supervision. Responsibilities and Tasks • Perform daily facility tasks such as submitting and tracking work orders, scheduling routine maintenance, and assisting with office moves and space assignments according to established procedures. • Communicate with service providers to schedule work and resolve straightforward service issues, ensuring completion of facility-related tasks. Support vendor onboarding activities and maintain basic vendor records. • Update and maintain facility management system data (e.g., UpKeep), ensuring accuracy of records for work orders, assets, and space assignments. Prepare and distribute standard reports as directed. • Review and process incoming invoices for facilities services and supplies, verify charges against contracts or purchase orders, and escalate discrepancies to senior staff for resolution. • Monitor and restock office and facility supplies, track locker and parking assignments, and provide support for resource allocation as needed. • Act as a contact point for employee facilities requests, escalating complex issues to the appropriate personnel. Assist in communicating service updates and process changes to staff. • Assist in basic facility inspections and help ensure compliance with health, safety, and environmental requirements by reporting hazards or non-compliance to the Facilities Manager. • Contribute ideas for improving routine processes and employee satisfaction within the facilities function, submitting suggestions to supervisors for consideration. Knowledge (Education/License/Certification, Prior Experience) • High School Degree required • 2 years of experience in facilities, office administration, or a similar support role.
