Benefits Offered: Medical, Dental, Vision, Company Paid Life Insurance and Short-Term Disability, Additional Life Insurance, Long Term Disability, Accident, Cancer, Hospital, 401 K Match, Paid Time Off, Holiday pay, and more!   Job Summary: The Executive Assistant provides high-level, confidential administrative and coordination support to the owners while also supporting the day-to-day administrative needs of the organization.  This position serves as a trusted resource and central point of coordination for executive priorities, company initiatives, departmental requests, events, external relationships, and select personal matters on behalf of the owners.   Essential Functions: Provide confidential, high-level administrative support to the CEO and company owners, exercising discretion, professionalism, responsiveness, and sound judgment. Manage executive and personal calendars, appointments, meetings, commitments, and competing priorities. Coordinate business and personal travel, including flights, lodging, transportation, reservations, and itineraries. Handle a variety of personal and professional requests on behalf of the owners, including appointments, orders, services, correspondence, and occasional errands. Serve as a trusted point of contact for executives, employees, clients, vendors, family representatives, service providers, and other contacts. Screen and manage executive calls, correspondence, and communications with professionalism and discretion. Track executive expenses and prepare accurate weekly, monthly, and quarterly expense reports. Provide administrative support to leadership, employees, Accounting, Human Resources, and other departments as needed. Prepare, format, and distribute professional communications, reports, presentations, meeting materials, correspondence, and other business documents. Prepare meeting minutes and maintain organized records, files, databases, and confidential information. Coordinate company meetings and events, including scheduling, catering, invitations, registrations, materials, budgets, and on-site support. Maintain company calendars, newsletters, internal communications, and general office operations as needed. Provide front desk, telephone, mail, document, and general office support when needed. Prepare and submit subcontractor prequalification packages and coordinate required business license renewals and documentation. Assist with special projects, administrative initiatives, and operational needs across the organization. Support company, industry, community, business development, networking, and professional association events and activities. Coordinate event logistics, registrations, communications, materials, scheduling, and on-site support. Attend meetings and functions, prepare minutes and correspondence, and coordinate follow-up communications, acknowledgments, and solicitations. Assist with award submissions, community initiatives, professional association activities, and other external-facing programs. Help maintain positive and professional relationships with vendors, community organizations, professional associations, and other external business partners. Perform other duties and responsibilities as assigned.   Education and Qualifications: High school diploma or General Educational Development credential required. Completion of business school coursework, associate degree, or an equivalent combination of education and experience is strongly preferred. 5 + Years of related experience as an executive assistant or in a comparable role. Highly organized, dependable, and able to maintain strict confidentiality. Strong communication, interpersonal, judgment, and problem-solving skills. Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook). Experienced in calendar management, scheduling, and handling multiple priorities. Strong attention to detail, accuracy, and follow-through. Able to work independently, meet deadlines, and adapt in a fast-paced environment.
