The Administrative Coordinator provides onsite support to the executive administrative team and secondary assistance to SkyWater MN staff and executives. This role is responsible for greeting and supporting guests, coordinating meeting logistics, supply management and other general office needs. The ideal candidate is friendly, professional, self-motivated, highly organized, and able to shift priorities quickly while maintaining confidentiality and attention to detail. Responsibilities • Serves as back-up administrative support to the Executive Associates, including calendar management assistance, executive leadership support and other needs as requested. • Manage visitor registration requests in alignment with Corporate Security protocols, including pre-registration and coordinating visitor hosts. • Serves as the point of contact for employees traveling from other sites, coordinating temporary workspace assignments and onsite scheduling support. • Ensures conference rooms are reserved appropriately to support visiting leaders, customers and guests. • Acts as an onsite information resource to assist staff and visitors with directions, contacts, and process guidance. • Monitor office supplies and place orders as needed. • Assist with travel arrangements and expense management as needed. • Documents work processes & procedures. • Delivers highly responsive, multi-tasked support to customers, employees, and leaders. • Proactively identifies opportunities to enhance support services, improve processes, and streamline procedures. • Assists with event and meeting planning. Required Qualifications • 2+ years administrative assistant or similar office support experience. • Strong communication skills (via phone, email and in-person). • Experience exercising discretion and confidentiality with sensitive company information. • Experience working with senior level executives, customers, vendors and other visitors. • Excellent organizational skills with an ability to think proactively and prioritize work. • Strong computer skills, including Microsoft Office Suite. • Experience with Outlook scheduling, email, and calendar management. • Ability to manage shifting priorities; skilled in multitasking and organizing multiple demands. • Able to work onsite in Bloomington, MN, Monday - Friday 8am-5pm. • U.S. Citizenship Required. Preferred Qualifications • Concur Travel and expense management experience. • Event or meeting planning experience. • Notary Public. The hourly range for this role is $28.86-$41.83 per hour. Pay offered is based on many factors, including, but not limited to, the job-related experience, skills, education, and credentials of each candidate.
